DATA WE COLLECT
Depending on your interaction with A/E, the following information may be collected:
Name, email address, telephone or WhatsApp number, city and general availability.
Project type, description, approximate size, body placement, reference images, photographs of the area and information concerning ownership or permission to use submitted artwork.
Booking details, appointment history, prices, deposits, payment status, receipts and relevant communications.
Age confirmation and limited health or safety information when necessary for the tattoo session and healing.
Photographs of the tattoo and the client’s separate choices concerning portfolio, website or social-media use.
Newsletter preferences and marketing consent.
Technical website information, such as IP address, device information and cookie data, when collected through Wix.
WHY DATA IS USED
Personal data is used to:
Review and respond to project submissions.
Communicate with the client and manage appointments.
Prepare, perform and follow up the tattoo service.
Process deposits, payments, receipts and accounting.
Protect health, safety and the quality of the tattoo.
Provide aftercare, healed-tattoo evaluation and possible touch-ups.
Maintain the A/E artwork and client archive.
Publish photographs only according to the client’s separate consent.
Send marketing communications only when valid consent has been given.
Operate, secure and improve the website and client process.
LEGAL BASIS
Project enquiries and bookings are processed to take steps requested by the client before entering into a contract and to perform the tattoo service.
Payment and accounting information is processed to comply with legal obligations.
Limited health information is processed only when necessary and with explicit consent through a separate confidential form.
Photograph publication and marketing communications are based on separate consent, which may be withdrawn at any time.
Data may also be processed where A/E has a legitimate interest in securing its services, maintaining necessary business records and establishing or defending legal claims, provided that the client’s rights do not override those interests.
WHO MAY PROCESS THE DATA
Personal data is not sold.
Data may be processed by service providers necessary for operating A/E, including:
Wix, for the website, forms, customer records, bookings and automated emails.
Google, for professional email and related services.
WhatsApp and Meta, when WhatsApp is used for an accepted project.
Wix Email Marketing or Mailchimp, when used for consent-based newsletters.
MobilePay, banks or other payment providers, for deposits and payments.
The accountant and other professional advisers, where necessary.
The host tattoo studio, only when information is required for practical appointment coordination, safety or legal obligations at the studio.
Some providers may process data outside the European Economic Area. Where this occurs, appropriate safeguards required by data-protection law are used.
HOW LONG DATA IS KEPT
Project submissions that do not lead to a booking are normally deleted or anonymised within 12 months of the last contact.
Client, booking and project records are kept only for as long as necessary to provide the service, manage follow-up and handle possible legal claims.
Accounting and payment records are retained for the period required by Finnish law.
Health and safety information is kept only for as long as necessary for the session, healing follow-up and possible legal claims, after which it is deleted or anonymised.
Marketing data is kept until consent is withdrawn or the information is no longer needed.
Photographs and artwork records are retained according to the client’s publication consent and the legitimate archival needs of A/E. Identifying information may be removed when it is no longer necessary.
PHOTOGRAPHS
Consent to receive a tattoo is separate from consent to use photographs.
The client may separately choose whether photographs can be used in the A/E archive, portfolio, website or social media, and whether their face may be identifiable.
Refusing publication does not affect the tattoo service.
AUTOMATED MESSAGES AND PROJECT DECISIONS
Wix may send automatic confirmations, reminders and follow-up messages.
Project acceptance, refusal, design decisions and tattoo-related evaluations are made by Alban Essex. A/E does not use solely automated decision-making that produces legal or similarly significant effects.
COOKIES
The website may use essential cookies required for security and functionality.
Analytics or marketing cookies are used only according to the visitor’s cookie choices. Cookie settings can be changed through the website’s cookie controls.
YOUR RIGHTS
Depending on the circumstances, you may have the right to:
Access your personal data.
Request correction of inaccurate or incomplete information.
Request deletion or restriction of processing.
